Investment Administration, Marketing & Secretarial Support – Real Estate

Leading City based, global asset manager who manage funds across fixed income, alternative investment and equity markets, are keen to make an addition to their Real Estate Investment division. Assisting the Head of Real Estate and team in both client work and administration, core responsibilities will include the follow:

Role & Responsibilities

  • Provide high quality, intelligent, full PA, secretarial and administrative support to the Head of Real Estate and team and the Head of Structured Real Estate
  • Produce client reports, using advanced Word, Publisher and Excel;
  • Produce and circulate Investment Credit papers and appendices – using advanced Publisher, Word and Excel;
  • Produce marketing materials for current products using Adobe InDesign and advance PowerPoint including pitchbooks, reports teaser documents, transaction summaries etc; and the printing of such materials, plus general photocopying and binding;
  • Support the team in deal closing – specifically mechanics involved in the Know Your Customer (“KYC”) and bank account set-up process, as well as assisting with gathering signatures for legal documentation and related liaison with lawyers;
  • Support the Director of Asset Management in quarterly IPD payment process – CHAPS forms, transaction instruction letters, liaison with bank(s) and relevant client contacts;
  • Management of debt client pages of client website and pages of intranet site – uploading client reports and creation of portfolio flash reports;
  • Research, organise and book travel (via travel agent) and accommodation for meetings, conferences,
  • Property viewings, asset tours, where required and the creation of itineraries for five employees;
  • Maintain and proactively manage team diaries using Outlook, arranging meetings and appointments including organising external lunches and dinners, booking meeting rooms; creation of agendas for meetings;

Key Skills:

  • Advanced knowledge of Microsoft Outlook, Word, Excel, Publisher and PowerPoint;
  • In-Design knowledge desirable;
  • Able to manage sensitive and sometimes confidential information;
  • Self-motivated and able to take responsibility;
  • Resilient to manage conflicting demands, able to prioritise duties;
  • Able to demonstrate initiative and a proactive approach to daily tasks;
  • Good interpersonal skills and able to work independently and as part of a team;
  • Able to build good relationships at all levels, internally and externally
